We're looking for an experienced Administration Officer to join our Governance Team and provide high-quality support across the organisation. This is a busy, varied role where you'll keep things running smoothly through proactive diary management, document support, fleet and office administration, and coordination of meetings, travel and events.

About the Role - You'll provide day-to-day administrative support to Leadership Team members and their management teams, including coordinating calendars and meetings, preparing and quality-checking documents, and general office administration. You'll also assist with meeting and event logistics (agendas, minutes, venues and catering), fleet administration (vehicle checks and maintenance coordination), and arranging staff travel and training, while maintaining key records and statistics.
Do you have what it takes? To be successful, you'll bring proven experience (ideally 3-5 years) in a similar administration role and be confident juggling competing priorities and deadlines. You'll be highly proficient with Microsoft 365 (Outlook, Word, Excel, Teams, PowerPoint and Publisher), have excellent attention to detail, and communicate clearly and professionally with staff, customers and suppliers. You'll use sound judgement, show initiative, work independently while knowing when to seek guidance, and maintain confidentiality and trusted working relationships. A full or restricted NZ driver's licence is required.
About you - You're a proactive, service-focused administrator who enjoys being the person others rely on to get things done. You're organised, adaptable and comfortable switching between detailed document work and people-facing coordination. You'll bring a positive, solutions-focused mindset and an understanding of the importance of working respectfully with others, including an awareness of Tikanga Māori (and ideally experience in local government).
Applicants for this position must be legally entitled to work in New Zealand, therefore must have NZ residency or hold a valid NZ work visa. In terms of residence class visa applications, priority will be given where the applicant is in New Zealand.
The full-time equivalent salary range for this position is between $62,910pa and $69,900pa and the appointed starting level will be dependent on skills and experience and will be discussed during interviews with shortlisted candidates.
